Who You Know — Privacy Policy

1. About this policy
This policy explains how the owner of the registered Australian business name Who You Know ("we", "us"), collects, uses, shares and protects personal information when you use whoyouknow.au (the "Platform"). We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. What we collect
Everyone
- Name, email address and sign-in details
- Your mobile number, if you choose to give it, and whether you've agreed to us contacting you on it
- Your LinkedIn profile link, and your photo if you add one
- Messages you send us, and your answers to "Did the call happen?" after a call
- Technical information: device and browser type, pages visited, and the link or campaign that brought you to us (for example a
?src=code)
Job seekers
- Target roles and companies, seniority, work rights and preferred location
- Your CV and anything in it, and your answers to the questions in a call request
- Your plan, request balance and payment history
Insiders (referrers)
- Work email address, company, job title and team
- Details of your openings, your weekly request limit and your scheduling (Calendly) link
- Your referral bonus amount, if you choose to share it. This stays private to you and our team
Payments
Card payments are processed by Pinch Payments. We don't see or store your full card number. We receive a payer reference, the last 4 digits of your card, the card type, and the payment outcome.
Sensitive information
We don't ask for sensitive information such as health, religion, political views or criminal record. Please leave it out of your CV and answers. If you include it anyway, we'll handle it only as part of your CV, with your consent.
3. How we collect it
- From you, when you sign up, fill in your profile, upload your CV, make a payment or contact us
- From Pinch Payments, about the outcome of your payments
- From Calendly, about calls you book (once booking opens)
- Automatically, through cookies and similar tools when you use the Platform (section 9)
4. How we use it
- To create and run your account and your plan
- To verify insiders' work email addresses
- To show job seekers openings that match their targets
- To send call requests to insiders and help both sides book calls
- To process payments and renewals, and to send receipts
- To send service emails about your account, requests, calls and payments
- To send marketing emails, only if you agree (you can unsubscribe at any time)
- To call or text you about your account, for support, or to ask for your feedback, only if you gave us your mobile number and agreed to this. You can ask us to stop at any time by emailing support@whoyouknow.au, and we won't use your number for marketing
- To keep the Platform safe, prevent fraud and enforce our Terms
- To understand which channels bring people to us and improve the Platform
- To meet our legal obligations, for example tax records
5. Who we share it with
- Insiders you send a request to: your profile, CV and request answers. Insiders can't browse profiles; they see only the requests sent to them.
- Job seekers whose request you accept (insiders): your name, photo and LinkedIn link. Before you accept, job seekers see only your company, team and what you're looking for.
- Our service providers, only to run the Platform: Base44 (hosting, database and email), Vercel and Turso (hosting and database for our app), Resend (email delivery), Pinch Payments (payments) and Calendly (booking).
- Our professional advisers, such as lawyers and accountants, where needed.
- Law enforcement or regulators, where the law requires it.
We don't sell your personal information.
6. Storing information outside Australia
Some of our service providers store or process information outside Australia: in the United States (Base44, Resend and Vercel) and in Japan (Turso, which hosts the database for our app at app.whoyouknow.au). We choose providers that protect personal information to a standard similar to the Australian Privacy Principles, and we're responsible for how they handle it on our behalf. You can ask us for more detail at any time.
7. Security
We take reasonable steps to protect your information from misuse, loss and unauthorised access. These include access controls so each person sees only what they're allowed to, private storage for CVs, and payment processing through Pinch Payments. No system is completely secure. If a data breach is likely to cause you serious harm, we'll tell you and the Office of the Australian Information Commissioner (OAIC).
8. How long we keep it
We keep your information while your account is open. If you close your account, we delete or de-identify your profile, CV and messages within 30 days. We keep payment and tax records for as long as tax law requires (currently 5 years).
9. Cookies and analytics
We use cookies to keep you signed in, remember the link or campaign that brought you to us (for 30 days), and understand how people use the Platform. You can block cookies in your browser, but some parts of the Platform may then not work.
10. Your choices and rights
- Access and correction: you can see and update most of your information in your account. You can also ask us for a copy of the information we hold about you, or ask us to correct it.
- Deletion: you can close your account at any time, and we'll delete your information as set out in section 8.
- Marketing: every marketing email has an unsubscribe link.

11. Complaints
If you're unhappy with how we've handled your personal information, email support@whoyouknow.au. We'll respond within 30 days. If you're still not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
12. Changes to this policy
We may update this policy. If we make a significant change, we'll email you before it takes effect.
